Sygehus Sønderjylland

Sygehus Sønderjylland’s central warehouse serves the hospitals in Aabenraa, Sønderborg, Tønder, and Haderslev as well as medical practices and COVID-19 test and vaccine centers. LOGIA manages the entire flow of goods in the central warehouse.

Storage and logistics situation

Sygehus Sønderjylland built a new emergency hospital in Aabenraa and decided to move the central warehouse to the new premises.

The new central warehouse is equipped with six automated storage and retrieval machines and several manual storage areas. The hospital was therefore looking for a WMS system to manage the flow of goods and the storage machines. In addition, the WMS system had to be able to integrate with Sygehus Sønderjylland’s ERP system ILS. The choice fell on the WMS solution LOGIA from Roima Denmark.

In relation to the corona pandemic, the region expects to set up remote storage facilities with emergency response equipment. LOGIA is also prepared and set up to manage this.

High standards for hygiene and quality

The central warehouse has both sterile and clean products, which places special demands on handling and storage. The warehouse, therefore, consists of several separate areas with both manual and automated storage. LOGIA controls the flow of goods in all areas of the warehouse and ensures that the requirements for hygiene, expiration date, and traceability of the products are met. All goods are managed on LOT numbers so that the warehouse can withdraw goods quickly and easily.

Among other things, the warehouse packs goods for use in ‘Casecards’, which are used in operating theaters. All items for individual operations can be traced by the patient’s civil registration number and thus easily withdrawn.

Optimized hospital logistics

The central warehouse delivers goods to the hospitals’ storage rooms in the wards. In LOGIA’s route management function, the individual departments are set up as drops on routes to each hospital. LOGIA assigns picking orders to warehouse staff and guides them through picking rounds based on this information.

The picking card is divided into boxes of goods for the different departments. The screen shows which goods are to be picked and where the goods are to be placed on the picking card. LOGIA consolidates all orders for each department so that they do not run several times. The picking trolleys for Sønderborg, Tønder, and Haderslev are driven directly in the truck to the hospitals.

Depot service creates more time for patients

The warehouse provides a depot service for the hospital’s departments, with depot staff checking inventories using a tray system, delivering goods and placing them in the depots once a day. This ensures that the warehouse is at the forefront, so that the departments have the necessary stock and are never short of goods.

Departments can order the quantities they need, whereas before they had to order whole boxes. This requires less space, provides a better overview, and minimizes waste due to shelf life.

Previously, depot goods were ordered and delivered several times a day, and nurses put the goods in place in the depots. The new setup gives nurses more time for patient care.

Results

“Hospital logistics have been significantly optimized, and we have gained an efficient flow of goods. LOGIA consolidates all orders for each department, so we don’t have to make multiple runs. It’s super good.

We also have gained full control over expiration dates and a better overview of LOT numbers. This means that we have much less waste and that we can quickly withdraw defective goods.” says Hans Madsen, Warehouse Manager at Sygehus Sønderjylland.
